Overview
Content Recovery Specialists (CRS) was referred by a trusted restoration partner to provide contents cleaning services for a 33,000-square-foot nonprofit community facility following a commercial fire. The organization provides year-round educational, athletic, and leadership programs for more than 4,000 children, ages 5–18, across nine counties in Southwestern Pennsylvania. The Challenge
The fire originated from a propane tank in the gymnasium. While the structural damage was largely confined to that area, smoke & soot impacted the contents throughout the 33,000-square-foot building.
The client hoped to reopen within two weeks, making time one of the most significant challenges. In addition to the aggressive timeline, multiple restoration contractors were working on-site simultaneously, requiring careful coordination to keep the project moving efficiently & avoid disrupting one another’s work.
Our objective was straightforward: restore as much content as possible while helping the client return to normal operations as quickly as possible.
Our Strategy
CRS mobilized within two days of the loss with a team of 12–14 technicians. Before work began, all restoration partners collaborated to develop a plan that allowed each company to complete its scope efficiently while maintaining steady progress across the project.
To maximize productivity, our technicians were divided into two crews. One crew began on the lower level, where a separate business operated & needed to reopen as soon as possible. The second crew started on the upper level, with both teams working systematically toward the main floor. This approach reduced congestion, eliminated unnecessary downtime, & allowed work to progress simultaneously throughout the building.
Project managers remained on-site throughout the restoration, adjusting the workflow as needed & maintaining open communication between all contractors. That consistent communication proved to be one of the key factors in keeping the project on schedule.

Execution
Over four to five working days, the team completed contents cleaning in 19 rooms. Most items were restored on-site, with only a small number requiring packout services.
Contents included approximately 200 chairs, 50 tables, televisions, computer monitors, workout equipment, sewing machines, recording studio equipment, radio broadcasting equipment, gaming equipment, & educational technology, including 3D printers.
General-purpose cleaning and deodorizing agents, chemical sponges, melamine foam cleaning pads, & disinfecting wipes were used as appropriate for each content type. Odor mitigation equipment, including ozone and hydroxyl generators, was provided by partnering restoration companies as part of the overall restoration effort.
In addition to restoring salvageable contents, our team completed a detailed inventory of non-salvageable items, providing the documentation needed to support the insurance replacement process.
Results
The client’s goal was to reopen within two weeks. By maintaining an organized workflow & strong communication throughout the project, CRS completed its scope of work in just five days.
The lower-level business was prepared to reopen before the start of the following week, & the nonprofit resumed operations the following Monday—well ahead of the client’s anticipated timeline.

Key Takeaways

Large-loss restoration projects require more than technical expertise. They depend on planning, communication, and the ability to adapt as conditions change.
This project demonstrated how a coordinated approach between restoration partners can significantly reduce downtime while maintaining quality. By keeping communication consistent, adjusting the work plan as needed, and ensuring every team understood its responsibilities, the project remained organized from start to finish.
For CRS, this project reinforced a principle that applies to every large-loss restoration: effective leadership and collaboration turn complex challenges into manageable projects. When everyone is working toward the same objective, even time-sensitive losses can be completed efficiently and successfully.
